The calculation that actually matters#
Take your guest count. Divide by the number of minutes in your service window. Multiply by 60. That is the per-hour rate you need.
A 250-guest event with a 90-minute lunch window needs 167 guests per hour. One truck cannot do that. Two trucks at 100 per hour each can, with headroom for the arrival peak.
Now adjust for two things:
Menu complexity. Two or three items served fast is the 100-per-hour case. A build-your-own format with eight toppings and three protein choices is the 60-per-hour case. Menu length costs you more capacity than almost any other decision.
Arrival pattern. Guests who arrive across an hour are easy. Guests released simultaneously by a speech finishing, a session ending or a ceremony concluding create a peak that is two to three times the average rate. Plan for the peak, not the average.

Why two trucks beat one above 120 guests#
For the same total spend, two trucks give you:
- Two service points, halving queue length.
- Cuisine choice, which distributes guests unevenly in a useful way — not everyone wants the same thing, so neither queue gets the full load.
- Redundancy. Equipment fails. A gas issue or a fryer problem on a single-truck event ends food service. On a two-truck event it halves it.
- Better perceived experience. Guests judge a queue by whether it is moving and whether they had a choice, more than by its length.

The specific failure mode is almost always the same — a menu that was designed to impress rather than to serve, meeting a crowd that all arrived at once. The fix is equally consistent: simplify the menu, add a service point, and get ordering off the critical path.

Layout matters as much as truck count#
Two trucks parked side by side produce one queue that guests join at the nearest end. Two trucks placed 20 to 30 metres apart, facing into the crowd flow, produce two genuinely independent queues.
A few layout rules that recover capacity you have already paid for:
- Separate the trucks. Adjacent trucks share a queue whether you intended it or not.
- Face into the flow, not across it. A queue that forms across a walkway blocks circulation and makes the event feel more congested than it is.
- Give each truck a clear collection point away from the ordering hatch, so people waiting for food are not standing in the line for people ordering.
- Put bins and water away from the trucks. Clustering everything creates a single congested zone.
- Signpost the menu before the queue. Guests who decide while queuing are the single biggest source of hatch delay.
That last point is worth more than it sounds. An operator serving a crowd who already know what they want runs 20% to 30% faster than the same operator explaining the menu to each person at the hatch.
Practical rules of thumb#
- Weddings: one truck to 120 guests. Above that, add a second or widen the window to two hours.
- Corporate lunches: the window is usually fixed and short. Calculate from the window, and expect a hard peak.
- Campus and community events: arrivals spread naturally, so one truck stretches further than the headcount suggests.
